Privacy Policy

Who We Are

NepaleseWorker.com is operated by Green Outdoors Global Pvt Ltd (CIN U74110GJ2012PTC071978), a company incorporated in India and based in Vadodara, Gujarat, India ("we"). This policy explains what personal data we collect through this marketplace, why, how long we keep it, and the choices you have. It applies to employers, recruitment agency representatives, and other site visitors. It does not cover candidate/worker personal data — NepaleseWorker.com does not operate candidate registration and does not publish candidate profiles.

We handle personal data in line with India's Information Technology Act, 2000 and the rules made under it (including the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011), and the Digital Personal Data Protection Act, 2023 as its provisions come into force. Where you are located in Nepal, Nepal's Privacy Act, 2075 (2018) may also apply to information you provide.

Scope

This policy covers every way personal data reaches us: directory searches and filters, the manpower requirement form, agency listing and claim submissions, agency enquiry forms, the contact form, account registration and login, agency dashboard use (including document and image uploads), subscription and billing records, and system emails.

Data We Collect

From employers: company name, contact person, business email, phone, country, and manpower requirement details (role, salary range, contract terms). If you register an account, we also store your login email, hashed password, and requirement/saved-agency history tied to that account.

From agency representatives: business name, licence number, business contact details, team member emails (when an agency owner adds staff to their dashboard), and — during claim or verification — supporting documents you choose to upload (e.g. licence or registration proof) and a claimant's name/designation/business email/phone.

Billing data: if an agency's listing plan involves payment, we record the amount, currency, a payment reference you provide (e.g. a bank transfer reference), and who on our team recorded it. We do not collect or store card numbers, bank account numbers, or other payment-instrument details — no payment gateway is integrated into this platform, so all payment coordination happens outside it (e.g. by bank transfer), and only the resulting transaction record (amount, reference, date) is stored here.

Automatically collected: IP address and timestamp on form submissions (for spam/abuse prevention), and a session-based, non-identifying view counter when you visit a public agency profile (see §11, Analytics).

Claim documents: when someone claims an agency listing, the claim form (which does not require an account) asks for supporting documents such as an authority letter, company registration or DoFE licence. These are stored on private, non-public storage, are never displayed publicly, and are used only to decide whether the claimant is authorised to manage that listing.

We do not ask for government identity documents (e.g. passport, national ID) on any form. Verification documents uploaded by an agency owner or staff member from their dashboard are likewise stored on private, non-public storage — never served by a public URL.

How We Use It

  • Operate the directory and process your search/filter requests
  • Route employer requirements to relevant agencies after our team reviews them, and deliver enquiries — directly to agencies that have claimed their profile, and only after our review for agencies that have not
  • Review and process agency listing submissions, claims, and verification requests
  • Administer your account, subscription/billing status, and dashboard access
  • Send transactional emails about actions you or our team take (see §9, Email Communications)
  • Detect and prevent spam, fraud, and abuse of public forms
  • Meet our own legal, accounting, and regulatory obligations

We do not use your personal data for automated decision-making that produces legal or similarly significant effects about you, and we do not use it for advertising or sell it to advertisers.

Sharing

Enquiry and requirement details you submit are shared only with the specific agency (or agencies, after admin review and matching) relevant to your enquiry or requirement — never broadcast to the full directory. If the agency has not claimed its profile, nothing is sent to it automatically: our team reviews the enquiry first and passes it on using the agency's confirmed contact details. An agency's response to a requirement is only shown to the relevant employer after our team reviews and approves it.

We use the following categories of service providers to operate the platform, each processing data only as needed to provide their service to us: our hosting provider (application and file storage); our mail server, which sends the system emails described in this policy; and Cloudflare, which sits in front of the site as a content-delivery and security network (it processes connection data such as IP addresses, and runs the bot check on our public forms). On public marketplace pages only, and only if you accept the cookie-consent banner, we may also use Google Analytics 4 and Microsoft Clarity to understand site usage — see our Cookie Policy §3 for what data they receive and how to decline. We do not use advertising or marketing-automation tools, and we do not use any of the above for advertising purposes. We do not sell personal data to third parties.

We may disclose personal data if required by law, court order, or a valid request from an Indian, Nepali or other government authority with jurisdiction over the matter (including foreign-employment regulation).

International Data Transfers

Employers, agencies, and site visitors use this platform from many countries. We are based in India, so personal data you submit is processed by us in India. Our service providers (for example hosting, content delivery and — only if you accept analytics cookies — analytics) may process it in India or in other countries. We take reasonable steps to protect data in transit and at rest regardless of where it is processed; if you are in a jurisdiction with specific cross-border transfer requirements (e.g. the EU/EEA), contact us at office@nepaleseworker.com before submitting sensitive data and we will confirm current safeguards.

Retention

We retain personal data only as long as needed for the purpose it was collected, or as required by law:

  • Contact messages, enquiries, and requirement submissions: retained while operationally relevant, then deleted or anonymised
  • Account data: retained while your account is active; you may request deletion (see §8)
  • Agency verification documents: retained while the agency's listing is active plus a reasonable period for dispute resolution, then deleted
  • Billing/invoice records: retained for the period required by applicable tax and accounting law
  • Audit logs of administrative actions (e.g. who approved a claim): retained for accountability and security purposes

Your Rights

Depending on your location, you may have rights to access, correct, delete, or receive a copy of personal data we hold about you, and to object to or restrict certain processing. You may exercise these by contacting us — see our Grievance and Correction Policy for the process and expected response time. We will verify your identity before acting on a request involving personal data. If you are not satisfied with our response, you may escalate to our Grievance Officer and, where the Digital Personal Data Protection Act, 2023 applies, to the Data Protection Board of India.

Email Communications

We send transactional emails tied to actions on the platform: confirming a submission (contact message, requirement, listing, or claim), notifying you of a decision (claim approved/rejected, verification status change), notifying an agency of a new enquiry or shared requirement, notifying an employer when an agency response is approved for their review, and billing confirmations (payment recorded, invoice issued). All such email is sent from office@nepaleseworker.com, which is also where replies and support requests land. We do not send marketing or promotional email through this address without separate consent, and every transactional email above is a direct consequence of an action you or our team took — there is no newsletter or marketing list on this platform today.

Analytics (Agency Profile Views)

When you view a public agency profile, we record a single, non-identifying counter entry tied to your browser session and the date — used only to show that agency how many people viewed their profile. We do not track you across the rest of the site with this mechanism, do not tie it to your name or email unless you are separately logged in and viewing your own agency's profile (in which case it is deliberately excluded from the count), and do not share it with anyone other than the profile's own agency and our admin team.

Security

We apply reasonable technical and organisational measures to protect the data you provide: encrypted transport (HTTPS), rate-limited public forms, CSRF protection on all forms, role-based access control so staff only see what their role requires, private (non-public) storage for verification documents and response proposals, and an audit log of administrative actions on agency and account records.

Children's Data

This platform is a B2B marketplace for employers and recruitment agencies and is not directed at, or knowingly used by, individuals under 18. We do not knowingly collect personal data from minors.

Changes to This Policy

We may update this policy as the platform's features change. Material changes will be reflected in the "Last updated" date above; continued use of the platform after an update constitutes acceptance of the revised policy.
